Fleet Administrator- Team Leader, Title and Registration

The Fleet Administrative Assistant will become part of the fleet title & registration team. S/he will be the Team leader that will coordinate title registration vendor(s) to support fleet title registration and renewal process. S/he will also be the in-house subject matter expert on DMV related title registration procedures. S/he will be supporting the equipment vendors and company regions to obtain and submit all necessary documentations for title registration vendor(s) to obtain proper registration and/or renewals for compliance with the fleet. S/He will work directly with the Fleet title & registration team Supervisor and Manager.

Essential Functions & Responsibilities:

  • Title / Registration – Support the field to manage day-to-day title registration process and obtain vehicle title in a cost effective and timely manner. Provide subject matter expertise on DMV requirements.

  • Process applications for issuing new or renewals of vehicles within the International Registration Plan (IRP), state local base plating registrations, replacement plates and specialized plates.

  • Process any "in-house" PA metal plates and as well as any PA "in-transit" (temporary) tags by becoming a licensed agent under the company’s account with the state of Pennsylvania Department of Transportation. This involves pre and annual background investigations with no history that prohibit this position.

  • Assist Tax Department with ongoing state sales tax audits by pulling required documents.

  • Be responsible for completing invoicing from registration vendors. The weekly, monthly, and annual spreadsheets require verification for accuracy prior to being submitted to the accounting department for payment.

  • Equipment Remarketing Support – Coordinate with Equipment Remarketing team on upcoming equipment sales. Proactively review and collect any outstanding documentation required for auction sales.

  • General Administration – Team leader will be responsible for maintaining records and files of titles and other sales documents. Creating and maintaining spreadsheets, and also scanning documentation.

  • Interactions with levels of management and field personnel on a daily basis.

Desired Skills and Experience

  • Experience in title and registration is a plus

  • Experience in sales tax auditing is a plus

  • Experience in general administration is a plus

  • Experience using MS Office, Excel, Perceptive content, and other systems such as PeopleSoft Oracle is a plus.

  • Proven self-starter with a track record of managing multiple complex tasks with the ability to work across multiple functional areas internally and externally

  • Excellent problem-solving and critical-thinking skills and an ability to identify problems, design and articulate solutions, and implement change

  • Excellent customer service skills; prefer experience in service-oriented industry such as outsourced service providers or construction/utility companies

  • Detail orientated/Good organizational skills

  • Professional telephone manner and strong communication skills

  • Notary background helpful. Willingness to obtain notary license upon hiring of position.

Pre-Screen

License & Certifications:

  • Valid driver's license required.
