As a Scheduling & Administrative Coordinator, you are responsible for scheduling house packages for plant operations. Specific responsibilities will include, but are not limited to:

  • Create and update production and delivery schedules.

  • Create and communicate schedule change notices and material correction notices to plant personnel.

  • Complete weekly/daily invoicing and billing for extra material.

  • Prepare daily reports and delivery paperwork for use by the production floor and haulers.

  • Generate and maintain reports to measure service levels, delivery costs, etc.

  • Communicate with NVR field personnel and hauling vendors to ensure on-time and complete deliveries.

  • Review and ensure appropriate billing from haulers and submit for processing.

  • Order blueprints and coordinate delivery to the field.

  • Work closely with the plant’s Production, Customer Service, Materials departments, and Logistics department to ensure operational targets are being met.

  • Prepare invoices for processing by matching invoices to corresponding purchase orders (materials), coding to appropriate accounts, and entering into the DMS payables system.

  • Invoice rough and trim package billings on a weekly basis. Review invoices for discrepancies.

  • Process reports and paperwork in support of production and office operations.

  • Maintain contract/lease start and end dates.

  • Order office supplies, within budget parameters, distribute incoming mail, and collect and send outgoing mail and parcels.

  • Assist with other administrative tasks, as needed.

    Position Qualifications

  • Bachelor's or Associate degree preferred

  • 2+ years of administrative experience

  • Strong communicator, both verbally and written, with the ability to develop relationships with customers.

  • High level of accuracy and attention to detail.

  • Excellent time-management and organizational skills

  • Results driven with the ability to balance multiple priorities and changing demands.

  • Willingness to learn and take initiative

  • Ability to work both independently and as part of a team

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint)

    Salary range: Between $50,000 - $55,000 ($24.04 - $26.44 per hour).
