Job Overview:

The Medical Scribe Intern will participate in an extended Medical Scribe Training Program. Selected participants will undergo a training program to become a certified Medical Scribe and will have final placements throughout the RWJBH System

A Medical Scribe is responsible for providing documentation assistance and scribe services in the Emergency and Hospitalist Medicine Departments at the direction of a Physician or Advanced Practice Provider (Nurse Practitioner or Physician Assistant). The medical scribe job allows the clinician to focus on each patient, spend more time at the bedside, and work more efficiently. A medical scribe does not act independently, but documents the clinician s previously determined dictation and/or activities in the electronic medical record (EMR).

Orientation, Training and Ongoing Education Requirements:

Orientation:

  • Attend RWJBH new employee orientation

  • Complete RWJBH employee health requirements

Training:

  • Demonstrate ability to perform Medical Scribe duties through successful completion of Training: Four-week, full-time, classroom-based remote Training on:

    • Scope of the Job
  • HIPAA and Log-In Procedures

  • EMR Navigation and Functionality

  • Medical Terminology

  • Physician Note Documentation

  • Principles of Billing, Coding, and Reimbursement

  • Three-week full-time, on-the-job training alongside experienced Medical Scribes and Clinicians including:

    • Orientation to the Emergency Department
  • EMR Navigation and Functionality specific to the site

  • Application of classroom-based training to clinical setting

  • National Certification Exam

  • Employee will sit for a nationally accredited Medical Scribe certification

  • Ongoing Education

  • Review emails regarding documentation updates

  • Complete RWJBH corporate annual education

  • Attend Quarterly Site Meetings and Annual Department Meeting

Qualifications:

Required:

  • High School Diploma

Preferred:

  • Completion of Biology/Science coursework at the undergraduate level or above.

  • Work experience in a direct patient care clinical setting may be considered in lieu of Biology/Science coursework.

  • Work, volunteer, or shadowing experience in the healthcare field (e.g. medical scribe, clinical technician in a hospital, medical assistant in a doctor s office, EMT)

  • General medical knowledge and basic medical terminology

  • Ability to follow HIPAA guidelines

  • Ability to apply the principles of billing and coding to physician charts

  • Superb written and verbal communication skills

  • Superb listening and note-taking skills

  • Detail-oriented resulting in accurate and thorough work

  • Excellent organizational and time management skills

  • Able to work in a fast-paced, stressful environment

  • Computer proficiency

  • Ability to type 50 words per minute adjusted for errors

Scheduling Requirements:

  • Hiring for both Full Time Day Shifts and Full Time Night Shifts

  • Day shift start times vary between the hours of 6:00am-6:00pm and the Medical Scribe would be expected to rotate through each scheduled start time in between those hours

  • Night Shift start times vary between the hours of 7:00pm- 10:00pm and the Medical Scribe would be expected to rotate through each scheduled start time in between those hours

  • Employee will work 2 blocked weekends (Sat and Sun) per month with the other weekends off

  • Shifts are 7 days a week

  • Employee will rotate through all day OR all night shifts

  • Full Time role with a guaranteed 30 hours per week, but typical shifts will be a total of 36 hours per week

Essential Functions:

  • Take verbal dictations or take notes while accompanying clinicians in patient rooms

  • Document clinician s dictations into the EMR, that reflect the full complexity of care provided; including patient history, physical exams, procedures, orders, diagnostics, medications and conversations with the patient, family, or consulting clinicians

  • Gather and input patient information from external sources (e.g. outpatient diagnostics, nursing home records, EMS run sheets, etc.). Place phone calls to PMD offices, pharmacies, etc. as requested by the clinician

  • Actively listen to all conversations pertaining to patient care between the clinician and other healthcare providers, patients, family, etc. and document relevant information into the EMR

  • Ensure documentation meets requirements for risk management, billing, etc.

  • Keep clinicians informed of resulting diagnostics and troubleshoot delays in those results

  • Seek out missing or previously not dictated information from clinicians to complete the physician chart

  • Alert the clinician when the physician chart is ready for their review

  • Follow site downtime protocol when necessary, offer to help other scribes or clinicians with physician charts

  • Assist the clinician in navigating the EMR

  • Identify and anticipate clinician need and respond in an effective manner

  • Perform other duties as assigned
