Job Title: Administrative Assistant (Contract Position) Location: State College, PA Contract Duration: Through Mid-April, 2025 Hours:Full-Time

We are looking for an Administrative Assistant to join our team on a contract basis through mid-April, 2025. In this role, you will be the backbone of our office operations, providing essential support to keep everything running smoothly. Key Responsibilities:

  • Phone & Reception Support: Answer the main office phone line, take messages, and direct calls appropriately. Monitor and respond to voicemail messages in a timely manner.
  • Visitor Coordination: Greet visitors, issue and track visitor badges, and ensure their smooth entry to the facility.
  • Mail & Office Supplies: Sort and distribute incoming mail, and ensure office supplies are replenished as needed. Manage snack and drink inventory for office needs.
  • Event Support: Assist with ordering, setting up, and cleaning up for individual or group lunches, meetings, and events as needed.
  • Conference Room Preparation: Ensure conference rooms are stocked and ready for meetings, including setting up refreshments and ensuring equipment is functional.
  • Emergency Preparedness: Maintain and update facility emergency evacuation lists monthly to ensure safety and compliance.
  • General Office Support: Provide general administrative assistance and additional tasks as required by the manager to support the business.

Key Qualifications:

  • Computer Skills: Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new systems.
  • Strong Organizational Skills: Ability to juggle multiple tasks with attention to detail and accuracy.
  • Excellent Communication: Clear, professional communication skills when interacting with visitors and team members.
