Job Responsibilities:

  • Process contracts and check requests for independent contractors. Make travel arrangements and processes travel paperwork. Process production-related purchase request orders and paperwork.

  • Assist the technical director with planning for department theater and dance productions, including creating and maintaining production schedules; recruiting and communicating with design teams; scheduling design team meetings; taking notes in design team meetings; scheduling rehearsals and call times, and tour travel information related to hotels, venues, and workshop activities; communicating information to technical director, marketing manager, costume and props manager, and other department staff as appropriate.

  • Respond to requests for Panara Theater rental. Schedule rentals and process paperwork.

  • Provide other direct support for department events, and productions, and special performances. Maintain records of program and production meetings and serve as time keeper as needed. Assist with main office front desk coverage.

  • Other Duties as Assigned.

Required Qualifications:

  • Experience managing performing arts productions

  • Ability to complete reports and documentation associated with travel expenses and purchases.

  • Good time management skills

  • Good verbal and written communication skills

  • Strong organizational skills and attention to detail

  • ASL (American Sign Language) or willingness to learn

  • Ability to work independently

  • Strong interpersonal skills

  • Familiarity with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Access), office technology and other computer software; proficiency in Microsoft Office applications (especially Excel) and Google Applications (especially Sheets).

Preferred Qualifications:

  • Familiarity and knowledge of RIT Oracle applications and Kronos or other similar data management applications.

  • Experience in event planning and project coordination.

  • Fluency in ASL.

  • Two (2) years or more of relevant or related work experience. College work experience will be considered.

Job Summary:

The Senior Staff Assistant – (Events / Productions) provides administrative support for department events and theater productions.

Major responsibilities include:

  • Working with the technical director on production logistics; planning rehearsal schedules and call times;

  • Preparing contracts for independent contractors;

  • Making travel arrangements and processing travel paperwork for independent contractors;

  • Processing check requests for independent contractors;

  • Coordinating interpreter requests;

  • Communicating information to directors, marketing and communication specialist, costume and props manager, director of dance, and other department staff as appropriate.
