Req’d Education: HS Diploma or equivalentEmployee Type: Full Time Req’d Experience: 3+Industry: Admin Req’d Travel: less than 1%Description:Consarc is seeking an experienced Executive Assistant that will provide high-level administrative support to our executive team. This role will focus on the efficient collection, organization, and analysis of data, ensuring task follow-ups are completed in a timely manner, transcribing meeting notes, and fostering improved communication between departments. In addition to these core functions, the Executive Assistant will be responsible for handling a wide range of administrative and executive support-related tasks to ensure the smooth operation of the executive’s office.Primary Responsibilities:•Collect, compile, and organize data from various sources.•Maintain databases, spreadsheets, and documentation for executive reporting.•Assist in the preparation of reports, presentations, and summaries based on collected data.•Track and follow up on tasks, deadlines, and action items assigned to the executive or team.•Coordinate with team members to ensure timely completion of projects and tasks.•Set up reminders and ensure nothing falls through the cracks.•Attend meetings with the executive and transcribe detailed, accurate notes.•Distribute meeting minutes and follow up on action items with stakeholders.•Ensure records of discussions, decisions, and follow-up tasks are maintained.•Assist in streamlining communication between the executive and internal/external stakeholders.•Ensure clear, timely, and organized communication flows between departments and teams.•Draft and manage correspondence, emails, and other communication on behalf of the executive.•Manage the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.•Act as a gatekeeper for incoming communications and prioritize issues for the executive.•Prepare, organize, and maintain confidential files and documents.•Coordinate events, meetings, and conferences as needed.•Handle office operations, such as ordering supplies, maintaining equipment, and ensuring the smooth running of day-to-day activities.•Liaise with external vendors and partners as needed.•Assist with various special projects assigned by the executive.•Collaborate with internal departments and external partners to support project goals and deadlines.•Other duties as assignedRequired Qualifications:•Proven experience as an Executive Assistant or similar role.•Excellent organizational, communication, and multitasking skills.•Proficiency in MS Office (Word, Excel, PowerPoint) and other productivity tools.•Strong attention to detail and problem-solving abilities.•Ability to handle confidential information with discretion.•Familiarity with data collection, management, and reporting tools is a plus.Condition of Employment:•Successful candidate must submit to post offer, pre-employment physical examination and drug screen.Consarc Corporation is an Equal Opportunity/Affirmative Action Employer.
