Broad Function

The Director of Registration and Records is responsible for the registration process, all student records, institutional reporting, internal research support and the archives

Major Responsibilities

Provides leadership, supervision and direction to the Registration and Records Office. Coordinate the roll and updates to the academic schedule as required by division chairs and the Vice President of Academic Affairs. Supervise support staff with responsibilities of student data entry and student record disbursement. Research and participate in regional conferences to stay apprised of trending programs in SUNY and higher education law.

  • Research student records or academic records to provide timely responses to campus stakeholders.

  • Meet with IT staff to maintain data and/or address data issues, complete Banner testing and training to maintain the Banner system.

  • Work with staff in the Registrar office to update data.

  • Supervise the immunization and reporting process.

  • Communicate with faculty and staff regarding the registration timeline including student online registration, add/drop process, and official and unofficial withdrawal process.

  • Coordinate and manage the cross registration policy.

  • Troubleshoot registration and scheduling issues in the Banner system.

  • Manage the medical compassionate withdrawal refund process.

  • Work with IT to support the SIRIS data reconciliation process.

  • Work with Financial Aid, Student Accounts, and Learning Management related to student data management.

  • Participate in SICAS and SUNY Registrar group meetings and trainings as offered.

  • Communicate with division chairs regarding the academic schedule implementation timeline.

  • Assist division chairs with maximizing classroom space and schedule efficiency.

  • Supervise support staff data entry of schedule changes and time matrix compliance.

  • Participate in curriculum committee meeting relating to program and course development.

  • Attend divisional affairs meetings to collaborate with division chairs, support program changes, and follow up regarding issues and needs.

  • Respond to request or policy changes and model responses for the staff to utilize.

  • Meet with staff one-on-one or in group meetings regarding individual and departmental goals.

  • Serves as the Records Access Officer.

  • Other duties as assigned by the President.

Required Skills

Experience with web registration, degree auditing software and other computer applications. Experience with Ellucian Banner and community college experience preferred.

Bachelor's degree

Years of Experience

3 - 5 years progressive college registration and records management experience, with at least two years of managing other staff.

Working Condition and Physical Requirements

Office environment. Occasional lifting of 5lb-10lb.
