Job Summary
Reporting directly to the Director of Business Services, The Business Services Specialist will be the primary point of contact related to any business services including travel management, expense management, Amex cards & AFB. This role will review & analyze current processes and systems and work with Business Services Manager & Director to look for opportunities for improvement.
Essential Duties
Provide customer service to the operating companies for the business services under management including: travel management, expense management, card management, and AFB.
Update and maintain job aides and training materials for business services under management.
Conduct ELT expense report review. Route to CFO all out of policy expenses submitted by ELT for CFO approval.
Review out of pocket transactions submitted in Workday to determine compliance with policy and veracity of charge type (Amex vs. OOP).
Check mileage expense is accurate with travel dates and ensure that mileage is not for a fleet car (Accounting provides monthly Fleet Car List)
Check in on home internet reimbursement & work with employees to make sure correct expenses are selected
Administer change management for employee changes in Amex (BU/OU/Cost Center/Manager). Administer termination event activities, including a full account reconciliation and final payment monitoring.
Settlement Run Error Daily Review- Review in Workday for errors. Determine credit that needs to be changed to a personal transaction so the Settlement Run can process nightly payment to accounts. Instruct HRIS to do this. Contact AMEX to request a refund for the credit amount marked personal and add Check Refund to the shared Manual Payments / Refund Checks Shared Sheet
Identify Missing Credit Card Transaction Files and request AMEX DFF Team to assist with file delivery
Ensure compliance of expense processing in Workday by review and work with HRIS team and Director - Business Services to ensure systems are optimized. Provide recommendations for rule validation, data assignment and other back end control settings and also establish/implement controls with AMEX on Monthly Basis (End of Month)
Provide Missing Payment Posting Information to AMEX Reconciliation Team on weekly basis to ensure all payments are correctly processed and allocated to the proper cardholder account
Navan- Key Point Person with Navan to review system and performance
Review Airline Credits and transfer to individual travelers to ensure credits are utilized accordingly
Generate Weekly International Traveler Report and distribute to stakeholders within the business
Under This Roof We Require
Bachelor’s Degree in Arts/Sciences (BA/BS) Required
4 or more years of relevant experience Required
