It is deadline and detail driven. Successful applicants will be able to develop strong rapports internally and externally, learn new technology quickly, work to deadlines and prioritize effectively. Responsible for the accurate and timely generation and recording of financial documents and financial transactions. This position is expected to support the initiatives and goals of the Accounting Manager, particularly as relates to the Accounts Payable function. This position is expected to operate under supervision from a manager and will work as part of a team. As directed, this position will be required to support other departments and managers in order to fulfill the immediate requirements of the firm. The Accounting Assistant II has an intermediate understanding of bookkeeping and accounting principles. Primary Responsibilities include but are not limited to the following. Other duties may be assigned. Communication: Collaborates with all departments including Accounting, Administration and Engineering to ensure open, timely and accurate communication. Answers all vendor, client and internal staff inquiries in a timely and friendly fashion. Prepares and distributes correspondence with internal and external parties, which may be confidential in nature. Explains basic accounting procedures and financial information to internal and external parties as needed. Protects organization's values by keeping information confidential. Compliance and Procedures: Adheres to company procedures. Reviews, investigates, and corrects errors and inconsistencies in financial entries, documents, and reports. Assists with obtaining and maintaining corporate registrations, licenses and contracts to ensure compliance with state, federal and company requirements. Documents departmental procedures. Implements and documents changes as needed. Data Processing and Bookkeeping: Records financial transactions into an automated accounting system which requires on the spot independent decisions for online date entry This will primarily include, but is not limited to, the recording of vendor bills, credit memos, credit card charges, and company payments. Prepares, assembles, tabulates, and verifies vendor bills, requisitions, and purchase orders. Enters data and performs reconciliations and comparisons of data using pre-established worksheets. Maintains databases by entering new and updated vendor and account information. Prepares and maintains records and tables for internal and external accounts. Assists in the year-end reporting, as needed. Projects: May participate in and contribute to project-based initiatives. Adheres to schedules and timelines for projects. Reporting and Analysis: Assists in the design and creation of financial reports. Generates and distributes reports for further review and analysis (weekly, monthly, etc.) Reviews, and may interpret reports. Assists with the processing of accurate and timely year end reports. Collects, tracks and organizes reports and documents for filing and processing of data. Team Support: Assists with related bookkeeping functions as needed. Backs up other team members as needed. May perform the duties of the Accounting Assistant I level. Updates job knowledge by participating in educational opportunities. Required to effectively collaborate with internal and external departments Bachelor's degree (B. A.) in Finance, Accounting Economics, Business or a related field (Preferred). A minimum of three years of experience (Preferred) Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Basic math skills for addition, subtraction, division, multiplication. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Knowledge of Microsoft Office Suite, Outlook and PDF programs. Ability to learn new systems quickly.
