Job Title: Operations AdministratorGrade: 21Salary: $75,245 - $90,726The Research Foundation for Mental Hygiene Inc. (RFMH) is seeking a qualified applicant to fill a full-time Operations Administrator position for the Division of Facilities and Administrative at the New York State Psychiatric Institute. The Operations Administrator works with the Operations Team in the Office of Sponsored Programs for NYSPI/RFMH. This role supports the Pre and Post Award Teams to ensure that grant submission deadlines, progress reports, and sub awards can be executed efficiently while ensuring compliance to State, Federal, and Foundation sponsor requirements and policies. To do so requires the ability to learn how to use NYSPI/RFMH databases and communications systems, as well as basic background in federal HHS funding structure (ex: NIH). The qualified candidate will have the ability to adapt to continuously changing sponsor guidelines, regulations, policies, and systems. Demonstrate proficiency in Microsoft applications, including Word, Excel, Teams, SharePoint, Outlook, and Power Point. As well as being highly organized and detail oriented. The successful candidate must have the ability to manage multiple projects while maintaining a professional demeanor. Duties and Responsibilities:-- Grants database record creation and data entry for upcoming grant application submissions-- Grants database record creation and data entry for upcoming progress reports-- Grants database record finalization upon grant submission with additional data entry to record the final project dates, budget requested, and F&A rate-- IRB/IACUC approvals and updating the appropriate grant record with approval and expiration dates-- Communication system ticket setup for: grant submissions, progress reports, and subawards-- List of upcoming grant application deadlines and progress reports, and sharing this report across departments-- Data Sharing agreements for review and submission to sponsors-- Ability to learn and effectively use award management software and related sponsor system-- Other duties as assignedMinimum Qualifications:-- Bachelor’s degree and 3 years of work experience in sponsored programs, research coordinator, or project administrator experience; data entry; or related experience. OR-- Associate degree and 4 years of work experience in sponsored programs, research coordinator, or project administrator experience; data entry; or related experience. OR-- High School diploma and 6 years of work experience in sponsored programs, research coordinator, or project administrator experience; data entry; or related experience.
