The Corporate Communications team in the Executive Office is seeking a highly motivated administrative assistant for the Global Head of Corporate Communications. This role involves supporting a Partner Managing Director, including their schedule, travel and external and internal relations. The role requires exceptional prioritization and communication skills, as well as the ability to adapt to a wide range of working styles and responsibilities. Previous experience in supporting senior executives and the ability to work in a busy, fast-paced environment is preferred.
Responsibilities
- Provides administrative support in a team environment to a Partner Managing Director.
- Coordinates complex, senior-level internal/ external meetings
- Handles a high volume of phones calls, ensuring that media calls are always answered during normal office hours
- Interacts with news reporters and high-level business leaders in a professional and effective manner
- Maintains complex and extremely detailed calendars, thinking proactively about scheduling needs and prioritizes meeting requests and related logistics.
- Coordinates domestic and international travel arrangements and processes expense reports.
- Available for weekend or evening work on occasion, in particular to support travel arrangements
- Plans logistics and manages budget and a detailed guest list for Partner-sponsored internal and external events
- Maintains understanding of firm expenses, client entertainment, news subscriptions and attendance policies.
- Book rooms and locations for meetings and events, ensuring all logistical planning details are addressed
- Manages monthly invoices and arranges for payment.
- Orders supplies and keeps inventory well-stocked.
Skills
- Requires excellent interpersonal and communication skills.

- Strong proficiency in MS Word and Outlook
- Proficiency in Excel, PowerPoint, Concur and Zoom
- Ability to maintain high standards despite pressing deadlines.
- Ability to solve problems quickly and efficiently.
- Ability to handle highly sensitive, confidential and non-routine information.
- Self-starter with excellent anticipation skills; problem solving; follow up.
- Demonstrates dependability and sense of urgency about getting results.

Salary Range
The expected base salary for this New York, New York, United States-based position is $70000-$110000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
