About the Department

The Marketing and Communications Department set our brand tone. They construct and magnify stories and messages to help and inspire people through running, across advertising, media, brand strategy, creative materials, video, photography, race broadcasts, editorial, brand presentations, and multiple web and digital platforms. They connect with the world's best athletes and ambassadors to deepen NYRR's mission. They leverage channels ranging from international broadcasts to screens at our NYRR RUNCENTER, individual emails to mass media, and from digital journeys to race day signage. The Marketing and Communications team connects NYRR's initiatives and innovations to the hearts and minds of our community, inspiring them to run for life.

About the Position

The Experiential programming director is responsible for NYRR’s year-round programming schedule and strategy. This role will work closely with internal and external stakeholders, including NYRR and partner executives to ideate, plan and execute high quality and engaging events that align with NYRR’s content strategy and org-wide goals and initiatives.

Events under the prevue of this director include all non-race events at the NYRR RunCenter, and at the expos of NYRR’s marquee races – the TCS New York City Marathon Expo at the Jacob Javits Center, United Airlines NYC Half Experience at Center415, and the RBC Brooklyn Half Pre-Party in Brooklyn Bridge Park.

Responsibilities for each event include scheduling, floorplans, booking guests, and A/V and livestream production. Additionally, this position will oversee NYRR’s digital event production strategy, including digital signage, digital fan engagement and mobile app content/UX.

Job Responsibilities (primary and secondary duties):

  • Develop and implement the overarching experiential event production strategy aligned with the organization goals, initiatives and key messages.

  • Fully plan and execute year-round programming event schedule at the NYRR RunCenter and race expos for the TCS New York City Marathon, United Airlines NYC Half, and RBC Brooklyn Half.

  • Build and maintain relationships with internal and external partners, understanding programming needs and expectations. Act as a central point of contact for all stakeholders, providing regular updates and ensuring parties are aligned.

  • Be the catalyst for coordination of programming for all departments, with calendar management and event prioritization responsibilities, working closely with the NYRR Hospitality Team, and the RunCenter Director, who ultimately has ownership of the space.

  • Drive runner and community traffic into the RunCenter through creative and interesting program development that align with NYRR’s mission and goal of delivering the highest quality programming and events.

  • Working closely with other key stakeholder, identify and book panel participants and featured guests for NYRR programs.

  • Establish and enforce quality control measures to ensure consistency and excellence in experiential production.

  • Oversee budgets and monitor financial performance, variances, and implement corrective actions when necessary.

  • Oversee and manage relationships with vendors to ensure they deliver quality services and products.

  • Understand internal and external partner needs and objectives, and translate them into briefs and project plans.

  • Manage partner expectations, address concerns, and ensure satisfaction throughout the project lifecycle.

  • Plan and prepare event documents (floor plan, equipment lists, etc.) to ensure proper installation and programing of technical elements.

  • Manage the livestreaming/distribution of NYRR’s virtual and hybrid events.

  • Liaise with Digital Marketing on RunCenter digital content development and execution, ensuring frequently updated and relevant content on all digital platforms in the RunCenter.

  • Oversee the installation, operation, and maintenance of audio-visual equipment at NYRR’s non-permanent spaces, including projectors, microphones, video conferencing systems, and integrated control systems.

  • Maintain, track, repair in ‐ house A/V equipment inventory, perform regular checks to ensure all equipment is in working order.

  • Provide technical support and training to staff on AV equipment usage.

  • Stay current with the latest AV and livestream technology trends and make recommendations for equipment upgrades.

  • Oversee NYRR’s Digital Event Production, including digital signage strategy and mobile app content and UX.

  • Effectively manage employee performance.

  • Manage Digital Event Producer, and part-time/seasonal videographers, A/V technicians and event producers.

  • Create goals for the team and individual employees.

  • Delegate and distribute tasks and responsibilities appropriately.

  • Promote team culture that coincides with NYRR mission and core values.

Job Requirements:

  • 5+ years of relevant experience in event planning, A/V, livestreaming, or related field at a sports property required

  • Experience managing a team of people is preferred

  • Experience in fan engagement or digital content/UX a plus

  • Ability to work in high-paced environment

  • Self-motivated with strong organizational skills and attention to detail

  • Ability to meet and perform under tight deadlines, think clearly under pressure, and exercise good judgment

  • Ability to effectively manage multiple tasks and projects

  • Excellent organization and communication skills

  • Demonstrated decision making and problem-solving skills

  • Excellent written and verbal communication skills

  • Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook)

  • Adobe Creative Suite (Premiere, After Effects, Illustrator) experience a plus

Salary: $85k-90k
