The selected colleague will work at an MUFG office or client sites four days per week and work remotely one day. A member of our recruitment team will provide more details.

Job Summary:

This position is responsible for high level administrative support to Head of Japanese Corporate Banking for the Americas (Member of Executive Committee for the America – ECA) and JCB’s senior leadership team including Heads of each region, Managing Directors (MDs) and other managers in JCB Americas. This position is also responsible for handling several tasks such as accounts payable, research, reporting and projects and events coordination with business management department in JCB Americas and Head Office under manager’s supervision.

Major Responsibilities:

Administrative Support functions for Head of Japanese Corporate Banking for the Americas: (70%)

Provide high level administrative support to Head of JCB for the Americas, JCB Sr Leaders under limited supervision from the executive, and perform complex and confidential duties involving frequent exercise of independent judgement as follows:

Writes business letters and other correspondence in English and Japanese, organizes files and offices, arranges travel and hotel reservations, completes all accounting forms for reimbursements, handles the scheduling of appointments and coordinates meetings and interviews, maintains membership and pays dues in various organizations, sets up business and professional lunches, dinners, entertainments and corporate events, ordering business cards, office supplies, flowers, gifts to customers, makes arrangements for incoming visitors, greets guests, serves refreshments to guests, process “Gift and Entertainment” procedures, screens incoming phones and communicates with customers in Japanese and English. Prepare or edit various reports and articles.

Also provide administrative support within Planning for the Americas as follows including various reports.

  • Arrangement of Onboarding tasks, setting phone, PC, security card, and others for New Hires.

  • Administration of Seminars and Receptions sponsored by the division

  • Administration of memos and calendars to be distributed to customers

  • Administration of mobile phone

  • Administrative support within Business Management Dept.

  • Prepare and maintain organization related information within the division, including Organization Chart, Seating Chart, Emergency Call Tree

Accounts Payable functions: (20%)

Performs clerical tasks related to Account Payable such as ensuring invoices are approved in the system, giving payment instructions to prevent errors, verifying processed invoices, performing other accounting functions relating to Accounts Payable using SAP Concur and Ariba system to execute Expense tasks.

Also reporting function of expense tasks within Business Management

  • Preparing Monthly Expense report.

  • Responsible for paying all invoices, consolidating status reports and assisting with job descriptions and annual reviews.

  • Processing daily expense for JCB members.

  • Coordinate the installation of vendor-provided updates and new releases

  • Ensure all invoices are cross referenced with line items.

  • Handle budget items with Director throughout the year.

Other: (10%)

Performs other duties as assigned by Head of JCB for the Americas and managers.

Qualifications:

  • 3 to 5 years of executive assistant experience in global large corporation is required.

  • Bachelor’s degree preferred

  • A team player with excellent written and verbal communication skills and strong organizational skills.

  • Excellent computer skill, analytical skill data management skill is required.

  • Excel (Advanced level) and PowerPoint(Intermediate level) are required.

  • Must be able to communicate both verbally and in writing in Japanese and English

  • Understanding or willingness to learn SAP Concur and Ariba systems skill are plus.

  • Must be able to multi-task and work independently under time pressure.

  • Strong customer and results orientation

  • A positive attitude, collaborative spirit, creative mind and strong work ethic

The typical base pay range for this role is between $98K - $126K depending on job-related knowledge, skills, experience and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
