The School of Communication and Information (SC&I) on the Rutgers-New Brunswick campus houses a dynamic community of scholars who conduct engaged research and teach in the areas of communication, information science, media studies, information technology, journalism, librarianship, organizational and health communication, public relations, and other professional practice areas. Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Administrative Assistant for the School of Communication and Information - Dean's Office.
Among the key duties of this position are the following:
  • Provides overall administrative management of the daily operations of the Faculty Support function.
  • Resolves a diverse range of problems related to scheduling, procurement, and other administrative functions consistent with the mission, goals, and policies of the university and school.
  • Ensures accurate and timely processing of requests and actions, and professional, prompt, and courteous service to faculty.
  • Manages the administrative support provided at the school for the academic department chairs, program directors, and faculty.
  • Oversees the work of the administrative assistants who are responsible for supporting the chairs, directors, and faculty within the school, in addition to providing support to the chairs, directors, and faculty assigned to him/her.
  • Supports faculty chairs in their work managing academic departments such as tracking meetings and agendas.
  • Works with program directors to create the schedule of classes for all programs.
  • Handles appointments and onboarding processes for full- and part-time faculty.
  • Supports all of the school's faculty in activities such as procurement, travel, and logistics related to research and teaching.

Qualifications

Minimum Education and Experience
  • A bachelor's degree in business, administration, technology, communication, or a related fled, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, and report writing principles and practices.
  • A minimum of two years relevant experience in an administrative function, including at least one of the years of relevant experience in an academic administrative position.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent problem solving skills and outstanding written and oral communication skills.
  • Overall computer literacy, proficiency with office software applications including word processing and spreadsheet programs, online search, email, and the ability to learn new software applications quickly.
  • Must be able to work effectively with a diverse set of faculty and staff with a range of personal and professional styles.
Preferred Qualifications
  • Three years relevant experience in an administrative function, including at least one year of relevant experience in an academic administrative position.
Equipment Utilized
  • Desktop and laptop computers - Office software: MS Office Suite - RUTadmin for access to university data andrecords - University web applications including RIAS/Procurement, RIAS/Human Capital Management, CSS, DICES; and be able to learn the many new systems about to be adopted - school web applications such ascontent management systems for websites - open web applications such as Amazon purchasing and orderingpublisher textbooks for instructors - high end copier machines, fax machines, and other office equipment.
Physical Demands and Work Environment
  • Has to be able to lift boxes and materials up to 10 lbs.
  • Must be able to rearrange chairs and tables to set up rooms for meetings.
