Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Manager for the department of Family Medicine and Community Health at the Robert Wood Johnson Medical School.Reporting to the Sr. Director of Administration and Division Chief, the Program Manager provides advanced, diversified, confidential administrative and management support to the Senior Leadership Team (SLT members consists of the Sr. Dir. of Administration, Division Chief, Vice Chairs and Chair). Exercises considerable discretion and independent judgment in handling day-to-day matters on behalf of the Senior Leadership Team. As a highly visible representative of the department's new Geriatrics Division, serves as the department's liaison for external entities as well as the various internal units and administrative offices throughout the University for matters concerning Faculty and Staff Affairs, Human Resources, and Finance.Among the key duties of this position are the following:
  • Working with the department's SLT, Division Chief, collaboratively develops project planning for the new division of geriatrics. This position will interface with the department's other divisions, centers, networks, and programs (e.g. Center for Healthy Families and Cultural Diversity and the Rutgers Network of Affiliated Family Medicine Residencies) to support the geriatric division's activities and growth.
  • At the direction of the Division Chief or other senior leadership (senior director of administration, vice chairs, chair), interacts with and assists in coordinating the work of the geriatrics division chief and other faculty and staff on the geriatrics division team.
  • Serves as liaison between the department and administrative units.
  • Maintains comprehensive knowledge of the policies and procedures of the University, School, and Department.
  • Develops, prepares, and collaborates on budget development, staffing and plans of organization, and methods; evaluates project requests and makes recommendations.
  • Interacts and resolves various inquiries with Purchasing, Accounts Payable, IST, Payroll, and the Grants Department in relation to accurate reporting to ensure Division needs are met.
  • Provides leadership coordination, planning, and operationalization of expansion of interprofessional education offerings of the department, including working with other departments, divisions, schools, and units of the university and health system including RBHS, UBHC, SAS, SEBS, and others. This would include grants development and program administration.

Qualifications

Minimum Education and Experience
  • Master's Degree plus five (5) years of progressively more responsible related professional and/or administrative experience in a government agency, university setting, or large business office with responsibility for office management, presentation of reports, etc.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must possess excellent oral and written communication skills.
  • Computer literacy and data management experience.
  • Outstanding human relations and leadership skills, and the ability to function in a team environment.

Preferred Qualifications
  • Knowledge of how to accomplish superior performance in a unionized environment.
  • Familiarity with the functioning of different units within the university and affiliated health care delivery systems.
