Description

The Accounting Administrative Assistant provides essential support to the accounting department by performing various administrative tasks and assisting with financial processes. This position requires strong organizational skills, attention to detail, and proficiency in accounting software and procedures. The Accounting Administrative Assistant plays a critical role in maintaining accurate financial records, processing transactions, and supporting the accounting team in day-to-day operations.

Responsibilities:

  • Assist in entering financial transactions into accounting software, including accounts payable, accounts receivable, and general ledger entries.

  • Maintain accurate and up-to-date financial records and documentation.

  • Prepare and reconcile bank statements, credit card statements, and expense reports.

  • Assist in tracking and monitoring accounts payable and accounts receivable activities.

  • Prepare and distribute invoices to clients and customers in a timely manner.

  • Monitor invoice status and follow up on outstanding payments as needed.

  • Perform general administrative tasks, such as answering phones, responding to emails, and managing correspondence.

  • Maintain filing systems and organize financial documents and records.

    Requirements

  • High school diploma or equivalent; associate’s degree or certification in accounting or related field preferred.

  • Proven experience as an administrative assistant or in a similar role, with exposure to accounting functions.

  • Proficiency in accounting software such as QuickBooks, SAP, or similar platforms.

  • Strong numerical aptitude and attention to detail, with the ability to accurately process financial data.

  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.

  • Strong communication skills, both verbal and written.

  • Ability to maintain confidentiality and handle sensitive financial information with discretion.

  • Knowledge of accounting principles, practices, and regulations.
