Ihara Science Office Assistant/Shipping in Meadville, Pennsylvania

Job Summary:

Assist the Meadville Office Manager in performing their job functions and responsible for preparing all outgoing shipments.

Essential Functions:

  • Recruits/interviews candidates to fill vacant positions.
  • Plans and conducts new employee orientation.
  • Maintains confidential personnel records of insurance coverage, pension plans, personnel transactions such as hiring, promotion, transfer, performance review and termination.
  • Prepares reports and recommends procedures to reduce absenteeism and turn over.
  • Represents the company at personnel related hearings and investigations.
  • Maintains and distributes office supplies.
  • Places orders for Meadville purchasing.
  • Prepares and distributes written and verbal information to inform employees of benefit programs, insurance and pension plans.
  • Recommends modifications of existing benefit programs.
  • Answers telephone and routes calls to specified personnel.
  • Print out and Post the following reports:  Production Statistics By Operator Total Summary Report, Defective Percentage for the CB line Report, Defective Percentage for the UB line, On-Time Delivery Performance PA 
  • Safety committee member/coordinator.
  • Reviews daily Scan Track production statistics reports.  Handwrite corrections and then correct in the Scan Track database.
  • Enters downtime data into production statistics database.
  • Prepares monthly incentive spreadsheet.
  • Perform other assignments as required.
  • Reads picking sheets to determine items to be moved or gathered.
  • Assembles containers or selects preassembled containers.
  • Prints pick sheets for corresponding sales order and evaluates sales orders for additional notes or order comments.  
  • Assembles customer orders from stock, packs, weighs, and marks for shipment.
  • Inserts items into proper shipping cartons using protective fillers.
  • Using the sales order pick sheet determines method of shipment and routes accordingly.
  • Posts shipment data to shipping data entry including quantity shipped, back ordered and tracking information.
  • Maintains inventory of packaging materials and shipping supplies. 
  • Examines outgoing shipments to ensure shipments meet specifications.
  • Performs other related duties as assigned.

Qualifications

Education/Experience:

  • High School Diploma or General Education Degree (GED)
  • 2 years experience required
  • -PHR/SPHR certification a plus

     

Language Skills:

  • Fluent in English (Good Communication Skills)
  • Ability to read and comprehend simple instructions, short correspondence and memos.  Ability to write simple correspondence.  Ability to effectively present information in one on one and small group situations to customers or other employees of the organization.

     

Mathematical Skills:

  • Basic mathematical skills including addition, subtraction, multiplication and division in all units of measure, using whole numbers, common fractions and decimals.
  • -Basic computer aptitude

     

Reasoning Ability:

  • Ability to apply common sense understanding to carry out instructions furnished in written or oral form.  Ability to deal with problems following a pre-determined set of guide lines.

Physical Demands:

  • While performing the duties of this job the employee is regularly required to stand, walk, use hands, reach, climb, stoop, kneel, crouch, listen and speak.
  • The employee must regularly lift or move up to 25 pounds, and occasionally lift or move up to 50 pounds.  Specific vision abilities required include close vision, peripheral vision, depth perception and the ability to adjust focus.

When performing the duties of this job, the employee is regularly required to sit, use hands to finger or handle or feel objects and tools or controls and talk or hear.

  • Employee is frequently required to reach with hands and arms.
  • Employee is occasionally required to stand walk, stoop, and kneel.
  • Specific vision abilities require close vision, color vision, peripheral vision, depth perception and the ability to adjust focus.

Work Environment:

  • While performing the duties of this position, the employee occasionally works near moving mechanical parts.
  • The noise level is usually low.
