Aston Carter Office Manager in Manheim, Pennsylvania

Job Title: Office ManagerJob Description

The Office Manager will be responsible for technical excellence, customer responsiveness, and innovative thinking. This position requires complete organization, analytical thinking, and direct assistance to the Director of Operations.

Responsibilities

  • Create and update purchase order files, production job files, and finished production files.

  • Enter raw material receipts and inventory transactions into SAGE daily.

  • Assure accuracy of inventories and compliance with inventory policies.

  • Ensure sales orders for Production are provided to Production on a timely basis.

  • Prepare required documentation for shipment and deliver it to the warehouse to locate orders and prepare them for shipment.

  • Contact freight companies and schedule outbound shipments.

  • Maintain a polite and professional business image while interacting with contractors, visitors, customers, and employees.

  • Coordinate miscellaneous projects related to Sales, Marketing, or Quality.

  • Process certificates of analysis (COA's) for customers.

  • Create and/or assist others in writing reports, documentation, instructions, and procedures in a timely manner as scheduled or requested.

  • Participate in interviews, orientation, and training of associates, if needed.

  • Daily sales order entries and assure the sales order confirmations are sent to customers within 48 hours.

  • Respond to incoming customer requests via email and telephone.

  • Verify and print customer invoices.

  • Assist with new employee paperwork and human resources functions.

  • Perform other duties as required.

Essential Skills

  • 2+ years of administrative experience within manufacturing/logistics or shipping/receiving/inventory experience.

  • Ability to perform various tasks.

  • Proficiency with Microsoft Office.

Additional Skills & Qualifications

  • Experience with SAGE.

  • Experience in the packaging industry.

  • Ability to read, analyze, and interpret common technical and trade journals.

  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

  • Working knowledge of Microsoft Office.

Work Environment

The work environment is very clean and quiet, with minimal to moderate noise levels. The Office Manager will be positioned at a desk in the lobby, with the potential for their own office based on reliability and time management. The dress code is business casual. The role involves occasional lifting and moving up to 10 pounds, with specific vision abilities required for close vision. Employees must be comfortable removing jewelry and any items that may cause sanitary or safety issues when on the production floor. The facility offers a family-feel atmosphere, opportunities to learn new tasks, take on more responsibility, and grow within the company.

Pay and Benefits

The pay range for this position is $28.00 - $38.00/hr.
