JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Penn State Great Valley School of Graduate Professional Studies invites applications for the Executive Assistant to the Chancellor, Dean, and Chief Academic Officer. This position provides primary administrative support to the Chancellor. It manages and oversees the daily activities of the office, works closely with the campus’ Advisory Board, faculty, staff, and donors, serves as liaison with internal and external constituents including other University departments, students, and manages an Administrative Assistant, ensuring schedules are maintained and deadlines are met. This position oversees multiple projects undertaken by the Chancellor and performs confidential administrative duties including promotion and tenure, sabbatical requests, and handles all responsibilities in the absence of the Chancellor.

The successful candidate will be responsible for the following:

  • Provides high level support to Chancellor, managing daily activities and operations of the Chancellors office.

  • Assists Chancellor in coordinating and completing projects and reports.

  • Manages activities and operations of the Chancellors office including the Chancellor’s calendar, which requires ability to prioritize.

  • Plans, coordinates and hosts meetings and events for Chancellor such as Advisory Board, Executive Committee meetings, UP visits, regional meetings, UP Faculty Senate visits, searches.

  • Coordinates New Employee Orientation meetings.

  • Serves as liaison for Chancellor to Vice President of Commonwealth Campuses Office.

  • Communicates on behalf of the Chancellor.

  • Manages promotion and tenure review process for campus and manages peer reviews for candidates.

  • Provides administrative support for campus Management Team and acts as liaison between Management Team and Chancellor.

  • Fields any requests to resolve issues that do not require the Chancellor’s attention.

  • Oversees and monitors confidential administrative information and duties, personnel issues, salary and budget information and serves as budget administrator to approve expenditures.

  • Serves as Chancellor office representative for Commencement Planning including preparation of script.

  • Supervises an Administrative Assistant.

  • Supports various campus recruitment searches.

  • Handles Chancellors travel arrangements and travel reimbursements in CONCUR.

  • Coordinates and provides administrative support for Strategic Planning Committee and serves as liaison between GV and UP Nuventive staff to resolve issues.

    This position requires a bachelor’s degree or higher plus 6 years of related experience or an equivalent combination of education and experience. Excellent writing, interpersonal and organizational skills are a necessity to success in this role.

    This position offers the possibility of a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process.

    Occasional travel to University Park is also expected.

The salary range for this position, including all possible grades is:

$61,800.00 - $89,600.00
