Living Unlimited, Inc. Administrative Assistant in Harrisburg, Pennsylvania

Living Unlimited, Inc. is seeking a full-time Administrative Assistant to join our team at the Harrisburg office! This position offers a Monday--Friday, 8 AM -- 5 PM schedule and provides an excellent opportunity for an organized and detail-oriented professional to support our operations.

Key Responsibilities:

  • Organize and coordinate office administrative workflows, setting priorities effectively.
  • Answer and screen incoming calls in a courteous manner, directing inquiries appropriately.
  • Manage incoming and outgoing mail, faxes, and correspondence.

Operate standard office equipment (copiers, fax machines, etc.) and computer applications, including word processing, spreadsheets, and databases.

  • Maintain organized files for treatment, fiscal, and other records, ensuring compliance with HIPAA regulations.
  • Conduct weekly reviews of billing systems, schedules, and progress notes.
  • Create, maintain, and update filing systems for various records, including client files, program forms, payroll, and archived records.
  • Order office supplies as needed and process purchase requests.
  • Coordinate mass mailings to clients, referral agents, and other stakeholders.
  • Record and transcribe meeting minutes, as well as prepare reports and correspondence.

Qualifications:

  • High school diploma or equivalent required.
  • 1-3 years of administrative or secretarial experience, with proficiency in Microsoft Office (Word, Excel, and database management).
  • Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Excellent communication skills, with the ability to listen, evaluate, and respond appropriately to staff and client needs.
  • General knowledge of office equipment, including troubleshooting minor issues.
