Living Unlimited, Inc. is seeking a full-time Administrative Assistant to join our team at the Harrisburg office! This position offers a Monday--Friday, 8 AM -- 5 PM schedule and provides an excellent opportunity for an organized and detail-oriented professional to support our operations.
Key Responsibilities:
- Organize and coordinate office administrative workflows, setting priorities effectively.
- Answer and screen incoming calls in a courteous manner, directing inquiries appropriately.
- Manage incoming and outgoing mail, faxes, and correspondence.
Operate standard office equipment (copiers, fax machines, etc.) and computer applications, including word processing, spreadsheets, and databases.
- Maintain organized files for treatment, fiscal, and other records, ensuring compliance with HIPAA regulations.
- Conduct weekly reviews of billing systems, schedules, and progress notes.
- Create, maintain, and update filing systems for various records, including client files, program forms, payroll, and archived records.
- Order office supplies as needed and process purchase requests.
- Coordinate mass mailings to clients, referral agents, and other stakeholders.
- Record and transcribe meeting minutes, as well as prepare reports and correspondence.
Qualifications:
- High school diploma or equivalent required.
- 1-3 years of administrative or secretarial experience, with proficiency in Microsoft Office (Word, Excel, and database management).
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Excellent communication skills, with the ability to listen, evaluate, and respond appropriately to staff and client needs.
- General knowledge of office equipment, including troubleshooting minor issues.
