Vulcan Construction Materials Administrative Assistant in Hanover, Pennsylvania

What You'll Do: General Office Management. Prepare correspondence, reports, manuals, and forms. Compose letters and memos based on verbal direction or knowledge of organization policy or procedures. Prepare technical reports and studies for the department. Maintain an appropriate level of supplies for department projects. Arrange for disposal of department materials for shredding. Maintain Records and Documents. Demonstrate knowledge of the filing system through the ability to set up and appropriately file, update, purge, and archive data. Develop and maintain check-in/check-out procedures for equipment shared across the department. Maintain records of software used by staff. Maintain a comprehensive set of historical information for future projects or research. Maintain Calendars and Schedule Meetings. Ensure calendars are accurate, sending out reminders and communications for events.Make meeting arrangements, including meeting location, food arrangements, room setup, audio-visual aids, and printed materials. Make travel itineraries using authorized agencies and provide travelers with complete travel information. Handle, Respond, and Direct Correspondence. Answer, screen, and direct phone calls, emails, and visitors as each department head requests. Demonstrate familiarity with department needs and routines so that mail will be routed appropriately. Open and distribute confidential mail discreetly. Invoice and Expense Processing. Review invoices to confirm receipt of items or work performed and accuracy of cost. Code invoices with department cost codes before submitting them to the manager for approval. Coordinate the payment process for department expenses. Verify charges shown on monthly cost statements. Maintain proper records of procurement card charges and ensure proper procedures are followed. Time Keying. Responsible for keying time for various departments in Central Services. Additional Responsibilities. Other duties as assigned.

Qualifications Skills You'll Need: Experience. Previous administration, secretarial, or office work experience is preferred. Technology Skills. Must be able to use computers, cell phones, and other electronic devices. Must have appropriate typing skills and a thorough understanding of Microsoft Word and Excel. Interpersonal Skills. Must have excellent communication skills and the ability to interact well with people at all levels of the organization. Integrity. Must act with unyielding integrity and honesty in business transactions, promote company policies, and hold self and other employees accountable. Attention to Detail. Must have a keen attention to detail, especially with typing and administrative tasks requiring high skill and accuracy. Must have excellent organizational skills.
