Key Objective(s):

The main purpose of the Executive Assistant to CEO is to assist in day-to-day Executive activities of the business. Responsibilities include managing calendars, making travel arrangements, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, this position contributes to the efficiency of our business by providing timely support to executive members.

Primary Responsibilities:

  • Extensive calendar management in a fast-paced environment.

  • Manage any last-minute changes or cancellations and update schedules accordingly.

  • Support high-priority and time-sensitive matters by assessing requests and delivering prompt solutions.

  • Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries.

  • Manage correspondence, including emails, calls, and mail, and respond on behalf of the CEO as necessary.

  • Assist the CEO with daily administrative tasks, projects, and strategic initiatives.

  • Provide assistance to other senior leaders as required.

  • Schedule and manage medical appointments and personal commitments.

  • Organize and maintain files and personal documents for easy access and efficiency.

  • Support personal and professional projects, handling tasks from research to execution.

  • Screen phone calls and manage incoming requests.

  • Serve as a liaison between the CEO and various individuals, including business contacts and other members of the ownership team.

  • Will require some off-hours support.

    DESIRED QUALIFICATIONS

  • Have 5+ years previous experience as an Executive Assistant.

  • Previous experience with project management is a plus.

  • Ability to stay composed under pressure and adapt to changing requests.

  • Must be detail-oriented, have excellent organization and time management skills.

  • Must have previous experience managing domestic and international travel arrangements.

  • Handle sensitive and confidential information with the highest level of respect and discretion.

  • Ability to manage multiple tasks, calendars, and projects with a strong attention to detail.

  • Must have experience with Microsoft Office, Apple, Nexus, PowerBi, Concur.
