Description We are offering a short term contract employment opportunity for a Receptionist in CORAOPOLIS, Pennsylvania, 15108-1802, United States. As a Receptionist, you will play a crucial role in managing communication lines, ensuring timely and precise correspondence, and maintaining an organized workflow in the office.
Responsibilities:
• Efficiently process mail, including opening, date stamping, and distributing mail, as well as adding postage to mailings.
• Handle a 7-line phone system, answering calls and redirecting them as necessary.
• Welcome and assist walk-in clients, providing excellent customer service.
• Manage office faxes, ensuring they are properly received and distributed.
• Oversee email communication, checking for letters and assignments from Project Managers.
• Assist in the preparation of office documents, including routine correspondence, tables, forms, and monthly reports.
• Perform copying, scanning, and mailing of all correspondence.
• Maintain active project job files, ensuring they are properly updated and organized.
• Manage the process of sending out Plans and Specifications for Bid to Contractors and recording them on Plan Holders List.
• Assist in preparing Addendums for Projects and Bid Opening Sheets, ensuring they are ready for faxing, emailing, or mailing.
• Update the Contractors Database regularly, ensuring all information is accurate and up-to-date.
• Perform various administrative tasks as needed, including preparing spreadsheets, binding reports, creating binders, and more. Requirements • Minimum of 1 year experience as a Receptionist or in a relevant role
• Proficiency in answering a multi-line phone system
• Exceptional customer service skills
• Experience with data entry tasks
• Ability to manage email correspondence effectively
• Excellent interpersonal skills for interacting with clients and staff
• Proficiency in Microsoft Excel for data management and analysis
• Familiarity with Microsoft Outlook for email and calendar management
• Proficiency in Microsoft Word for document creation and editing
• Experience in organizing files and maintaining an organized workspace
