Cornell Cooperative Extension Administrative Assistant - Candor, NY in Candor, New York

This position will serve as the Office Assistant for Cornell Cooperative Extension Association of Tioga County and, under the oversight of the Association Executive Director, and will provide administrative support, bookkeeping, and Association marketing on social media. Under the direction of the Executive Director, this position will organize and maintain all office files, order and maintain office supplies, answer the phone, take messages and greet the public. This position will have primary responsibility for ensuring a neat and orderly office area at Hilltop Community Farm. The position will also maintain all existing social media platforms and add content to existing platforms to promote the Association’s general marketing efforts as needed. The position will also function as the local contact to support HR and IT basic functions as required under the Shared Business Network (SBN). This position will work closely with the SBN Human Resources Lead and Executive Director to support the local HR recordkeeping function and maintain a high degree of confidentiality as a result. This position will also provide on-site support to the SBN IT Lead in assisting with basic IT functions as needed.

POSITION DETAILS:

This position is a part-time non-exempt position - 75% FTE, 30 hours per week. The hourly rate for this position is $20.00 to $22.00 commensurate with experience. This position, based on eligibility, offers a comprehensive benefit package, to include: health and dental insurance, retirement, vacation, sick and personal leave.

POSITION INFORMATION:

Required Qualifications:

  • High School Diploma or Equivalent Education.

  • Experience relevant to the role of the position.

  • Valid NYS Driver’s License and the ability to meet travel requirements associated with this position.

  • Ability to work flexible hours which may include occasional evenings and/or weekends, as appropriate.

  • Familiarity with Microsoft Office products and/or ability to learn these applications.

  • Ability to maintain office files and organize an office environment.

  • Ability to maintain a high level of confidentiality in maintaining HR files.

Preferred Qualifications:

  • Knowledge of computers, software, and other related technology.

  • Demonstrated ability to work effectively with people of varying ages and socioeconomic and ethnic backgrounds.

  • Demonstrated ability to work effectively with co-workers, customers, volunteers and the general public.

POSITION RESPONSIBILITIES:

Administrative Responsibilities:

Coordination/Operation - 95%

  • Assist the Executive Director with coordinating basic office functions that support the overall administration of the Association.

  • Support other staff in day-to-day administrative functions of Association programs to include maintaining files, data input, program registrations and ordering program supplies.

  • Maintain professional relationships with other agencies, organizations and businesses in fulfilling the administrative duties of the position.

  • Order and maintain all office supplies, including janitorial supplies.

  • Maintain an organized, orderly office environment.

  • Provide local administrative support for the SBN HR Lead and the Executive Director to include maintaining confidential HR files and other local HR tasks as assigned, including but not limited to Background Checks, personnel onboarding, tracking of required staff and volunteer training, PTO tracking.

  • Provide local administrative support for the SBN IT Lead as assigned.

  • Provide administrative support for local Finance functions under the direction of the Association Finance Manager and the Executive Director including, but not limited to:

  • Accounts Payable coding of expenses and check printing.

  • Assist in the purchase tracking and management of recurring credit card payments.

  • Collection of cash receipts/data entry.

  • Cash/check deposits.

  • Support staff with financial administrative duties.

  • Other bookkeeping tasks as assigned.

  • Organize and maintain all hard copy office files and electronic files as assigned.

  • Under the direction of the Executive Director, provide support for marketing and/or social media and mass media efforts to promote the Association.

  • Submit IT support tickets for staff to request IT assistance from the SBN IT Team.

  • Provide local administrative support for the SBN IT Lead as assigned.

Current Administrative Support (detailed above) will be provided as follows:

  • Human Resources Support – 25% (approximately 7.5 hours)

  • Finance Support – 30% (approximately 9 hours)

  • Communications/IT/Social Media Support – 10% (approximately 3 hours)

  • General Administrative Support – 30% (approximately 9 hours)

Note: Percentages are subject to change based on the needs of the Association.

Professional Improvement and Other Duties as Assigned - 5%

  • In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

  • Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Health and Safety - Applied to all duties and functions.

  • Support the Association to maintain a safe working environment.

  • Be familiar with and strive to follow any applicable federal, state, local regulations, Association health and safety policy/procedure/requirement and standard.

  • Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.
