Overview

  • Under supervision of the Administrator, will provide administrative support to Divisions of Infectious Diseases, Rheumatology, and Dermatology.


Responsibilities

  • Must fulfill duties of all previous grades
  • General administrative support for Division Chiefs, Administrators, faculty, support staff

Scheduling/Coordination & General Support

  • Provide backup support for managing ID Division Chief calendar including scheduling/managing meetings and answering phone lines
  • Provide administrative support for clinical faculty inclusive of but not limited to, scheduling meetings, organizing interviews and events, managing calendars
  • Provide administrative support for ID Task Force(s) including scheduling meetings, managing calendars, information dissemination etc.
  • Answering phone lines in divisional offices
  • Coordinate divisional functions such as reserving rooms for meetings, setting up visits for prospective faculty and coordinating intercampus transportation
  • Assisting faculty with reimbursements and submission of honorarium payments
  • Assist with maintenance of divisional websites
  • Assist with onboarding of new faculty and support staff
  • Dissemination of divisional notices, announcements and informational emails
  • EPRO coordinator for ID, Dermatology and Rheumatology; creates purchase requisitions, manages PO changes, closeouts, etc.
  • Assist Fellowship Coordinators as needed; assists with conference and speaker organization
  • Other related duties as assigned

Grant Support

  • Provide backup support for ID cayuse coordinator
  • Cayuse coordinator for Rheumatology and Dermatology grants on both campuses, set-up proposals, uploading documentation, set-up routing, submit proposals
  • Submit progress reports, closeouts and no-cost extensions in ERA Commons, proposal central, grantsolutions websites
  • Maintains PI information for grants (updated biosketches, publications, other support, IACUC & IRB approvals, usernames) and grant submission record keeping
  • Assist principal investigators and support staff with obtaining ERA Commons username
  • Reviews proposal documentation for completion and accuracy (biosketches, other support etc.)
  • Assists with subcontract document collection for new proposals and grant continuations
  • Other related duties as assigned

Medical School Course Coordinator

  • Request and collate material from preceptors for: Lectures Series, Laboratory Sessions, Case discussions
  • Prepares schedules for the lectures, laboratory sessions and case discussion
  • Arrange transportation for outside lecturers
  • Assign students to room, Collect attendance sheets, Prepares tests
  • Records student evaluations
  • Prints manuals/materials for faculty
  • Additional responsibilities as assigned


Qualifications

High School Diploma and 4+ years of administrative support experience are required. Equivalent combination ofeducation and experience will also be considered
