As part of this commitment, we are seeking a Receptionist to play a key role in creating a welcoming and efficient workplace environment. The Receptionist will be the first point of contact for employees, visitors, and vendors, ensuring a professional and friendly experience. This role is responsible for managing front desk operations, assisting with facilities-related tasks, supporting mailroom functions, and providing administrative support to the Human Resources department. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
How You'll Make an Impact
Greet and assist visitors, ensuring they are properly signed in and directed to the appropriate contact.
Maintain the visitor log and issue visitor badges in compliance with company security policies.
Answer and direct incoming phone calls promptly and professionally.
Handle incoming inquiries and provide information or redirect as necessary.
Ensure the reception area is tidy, professional, and stocked with necessary materials.
Assist with conference room and training room setups, including scheduling and basic room arrangements.
Maintain an inventory of office and breakroom supplies related to mailroom and facility functions.
Maintain and organize the HR storage closet, ensuring it remains clean and orderly (requires lifting boxes and moving items as needed).
Coordinate with Facilities/Building Management for maintenance requests and office-related issues.
Support the Mailroom Representative with day-to-day mailroom operations, including sorting and delivering mail to appropriate departments.
Serve as a backup to the Mailroom Representative as needed.
Operate the mailroom vehicle for delivery and pickup of USPS, FedEx, UPS, and other courier services.
Track incoming and outgoing packages, ensuring proper documentation and delivery.
Assist with HR administrative tasks such as filing, invoice coding, and preparing reports.
Support HR projects and initiatives as assigned by the manager.
Handle confidential employee records and maintain organized documentation.
Provide general administrative support to the HR team, including scheduling, data entry, and special projects.
What You'll Need to Succeed
1-3 years of receptionist, administrative, or office experience preferred.
Strong verbal and written communication skills.
Professional demeanor with a customer-service-oriented mindset.
Ability to handle confidential information with discretion.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (multi-line phone systems, printers, etc.).
Ability to multitask and prioritize in a fast-paced environment.
Valid driver’s license required
Physical Demands
Primarily an office environment with periods of standing, stooping, walking, and crouching.
Occasional lifting (up to 30 lbs) related to mailroom and facilities support.
Must be able to operate a vehicle for mail delivery duties as needed.
Nice to Have:
- Basic knowledge of American Sign Language (ASL) to assist with communication needs.
Note: This is an onsite role requiring in-office attendance five (5) days per week.

The hiring range for this position is $22.00 to $24.00 / hour.
