Alfred University Student Account Representative in Alfred, New York

The Student Account Representative reports directly to the Bursar and is primarily responsible for assisting students and their families with billing questions and providing information to meet their financial obligation of monies owed. This position also adds all fees to student accounts from departments across campus. Ensures CashNet and all processes are conducted properly as well as all E-store operations. The Student Account Representative must maintain confidential files and information. This position has been evaluated for compliance with the Fair Labor Standards Act and is subject to premium pay for all hours worked in excess of 40 in a payroll week. 

Salary/Rate: $17.00-$19.00 per hours; 35 hours per week

Essential Functions:

  • Assist Students with questions regarding their student account.  Refer to the appropriate department if the issue cannot be resolved within the department

  • Work with Parent and Student in person, by phone or by email to ensure that bills are paid in a timely manner. Follow appropriate FERPA regulations in disclosing information to parents and outside parties

  • Advise Parents & Students on options available for educational expenses

  • Maintain Student Account Database with any activity, including manual charges, payments, and adjustments

  • Process cash advances and emergency loans to students, following appropriate office procedures.  Assist Student Affairs office staff members to determine eligibility of an emergency loan

  • Calculate and process refunds to Parents & Students

  • Serve as back up for Student Service Representative (cashier) at front desk

  • Answer phones & route calls as appropriate

  • Process all direct deposit requests

  • Works with international embassy to issue billing statements for students that provide financial guarantees and applies payments when received

Other Duties & Responsibilities:

  • Act as FAE for the CASHNet system, including the electronic payment, payment plan, and eMarket products with the system.  Work with other departments to implement new products and services into our eMarket portion of the system

  • Monitor, reconcile and distribute information regarding eMarket receipts to appropriate division heads

  • Builds and maintains all emarket stores

  • Work directly with the Financial Aid department to reconcile loan and scholarship disbursements. Post manual loan and scholarship checks received through the appropriate forms within the financial aid and student accounts systems

  • Reconcile loans between banner and bank statement

  • Process payouts to students, including cash advances and emergency loans. Determine eligibility for emergency loans based on current guidelines within Student Accounts.  Monitor Emergency Loan due dates and assess late fees

  • Review and process file uploads into the Student Accounts system, ensuring accounting accuracy as well as proper technical format

  •  Review accounts and process monthly late fees on past due accounts

  • Answer questions and resolve issues concerning 1098T mailing sent annually

  • Update Student Accounts webpage and online literature using Contribute.  Maintain and update in-office training materials and student literature

  • Review weekly withdrawal report and verify that appropriate adjustments are made on the Student Account

  • Review withdrawal reports and process appropriate security deposits to Student Accounts

  • Follow up on accounts with past-due balances and payment arrangements. Contact past due accounts by phone, email or in person to arrange for payment to be submitted

  • Process release of Security Deposits for all students that have completed their work at Alfred University. Determine which deposits should be refunded to the student, and which ones should be rightfully applied to forfeit revenue

  • Balance General Ledger accounts for Security deposits. Reconcile Miscellaneous Student Related Accounts in the General Ledger. Prepare correcting entries as necessary

  • Process all collection agency payments

  • Monitor Alumni and Perkins loan accounts, process small balance adjustments and refunds for overpayments

  • Perform additional duties and assist with special projects as assigned

  • Supports and assists in creating intersections for faculty, staff and students that will assist in transforming people’s lives

  • Supports and assists in creating an evolving culture of mentoring and rich engagement opportunities for faculty, staff, and students

  • Maintains a commitment to diversity, equity and inclusion and a high degree of cultural competence and respect for a wide range of identities and experiences, therefore welcoming and supporting all faculty, staff and students and expanding access to the AU experience

  • Maintains a safe working environment within and around their facilities and associated equipment and supplies including, but not limited to, obtaining Safety Data Sheet (SDS) information pertaining to any hazards associated with their work environment

  • Participates in all required assigned training, including safety training and will comply with safety rules, regulations, and protocols

  • Contributes to the overall success of the University by performing other duties as assigned

Qualifications-Education & Experience, Knowledge, Skills & Abilities:

  • Associates Degree in Accounting or Business with specific studies in accounting

  • Minimum five years of experience working in an office environment of accounting and bookkeeping

  • Must be well organized, possess excellent customer service and interpersonal skills

  • Must have a high level of accuracy and efficiency to be able to successfully enter various types of transactions into the Banner Records system

  • A team player who enjoys working with the public and solving problems for people

  • Must be able to handle several tasks simultaneously in an often fast-paced environment, while maintaining professional courtesy at all times

  • A self-starter who assumes responsibility for the work assigned and can complete projects with little or no supervision

  • The person must also be able to identify problems and have the knowledge of who to consult as problems arise

  • A detail-oriented person with the ability to balance transactions efficiently, with no errors

  • Must be able to analyze problems and solve them independently

  • Computer skills are essential; knowledge of Microsoft Word, Excel and Access; knowledge of Microsoft Outlook is also required

  • Experience with SCT/Banner is a plus

Personal Protective Equipment must be worn when required. A respiratory function test and the ability to use respirators may be required. Stairs and uneven surfaces may be present; artificial lifts, etc. may or may not be available. The position may require the incumbent to walk outdoors in all types of weather to other buildings or offices located on the campus. The Campus is located in an area that contains numerous hills and slopes and may not always be fully accessible for mobility impaired individuals.
