Duties Description Reporting to the Associate Director, the incumbent of this position will serve as the lead support person responsible for ensuring the smooth flow of operations between the Unit and all other Units within the Office of Cannabis Management (OCM).Duties include, but are not limited to:• Manage the office calendar and the Associate Director’s daily schedule by independently scheduling, confirming, and canceling meetings and appointments with staff, agency program managers and business units, and all other parties. Ensure schedules are up to date and reliable.• Receive and review all incoming and outgoing forms, correspondence for accuracy and completeness.• Research Laws, Rules and Regulations to make suggestions for process improvement and update procedures as needed.• Monitor and triage incoming inquiries and submissions through the customer service team’s shared mailbox. • Develop office document templates including formats for letters, memoranda, facsimiles, and travel itineraries, etc.• Work with staff to support the Customer Service Team to assist in the preparation, review, evaluation, and analysis of a variety of data and reports. • Input all forms and correspondence and distribute to appropriate staff and program areas.• Coordinate the collection of data necessary to respond to Legislative inquiries.• Respond to verbal and written inquiries through the customer service team’s shared mailbox and hunt group utilizing approved standardized language.• Generate canned reports on a regular basis.• Intake incident reports for the agency, track incidents and provide metrics. • Other duties as assigned.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* and applicants must meet the following minimum qualifications to be considered for this position:Applicants must possess one year of clerical experience. Applicants may also be appointed to this position if currently reachable on the appropriate eligible list for this title OR are a current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 7 or above and eligible for transfer under Section 70.1 of the Civil Service Law.
Additional Comments *There is no examination required for appointment to a NY HELPS position. Candidates hired before May 2024 will be appointed on a temporary basis. In May 2024, satisfactory employees will receive permanent, non-competitive appointments and will begin a probationary period.At a future date (within one year of permanent appointment), it is expected that NY HELPS employees will have their non-competitive employment status converted to competitive status, without having to take an exam. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State.
