Description of Duties:

The Benefits Coordinator will join a team of professionals responsible for informing employees of benefit eligibility, processing benefit enrollments and related information, maintaining benefit records for various employee benefit plans including FSAs, life, health, dental, disability, retirement, COBRA, sick leave, leave of absence, FMLA, PFL, workers compensation, and unemployment insurance.

Essential Functions:

  • Review payroll forms for benefit eligibility and determine the applicable new hire orientation Welcome Letter to send; Prepare and send Welcome Letters and ensure the required documents are returned to HR.

  • Distribute information and respond to inquiries regarding employee benefits including FSA's, life, health, dental, disability, retirement, COBRA, sick leave, leave of absence, FMLA and work/life benefits.

  • Provide monthly benefits orientation.

  • Assist employees in benefits self-service.

  • Submit any required enrollment information to benefit plan providers.

  • Calculate paycheck deductions for benefits, such as double deductions and refunds and enter into Oracle.

  • Process payroll status changes to ensure smooth transition of benefits.

  • Prepare benefits termination letters, COBRA, Leave of Absence and retirement calculations.

  • Assist with coordination of regular and graduate student employee annual open enrollment periods.

  • Respond to inquiries regarding benefit coverage and act as liaison between Research Foundation central office and employees regarding benefit issues in accordance with HIPAA regulations.

  • Responsible to ensure that all new employee orientation electronic materials are up to date and functioning.

  • Maintain employee benefit files, benefit spreadsheets and other record keeping documentation.

  • Perform special projects as assigned.

    Job Requirements:

Minimum Qualifications:

  • Bachelor's degree from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization and 2 years of employee benefit experience OR an Associate degree from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization and 4 years of employee benefit experience.

  • Ability to interpret and communicate benefit plan information.

  • Solid working knowledge of federal and state regulations including ERISA, HIPAA, COBRA and FMLA.

  • Proficient with Excel and other MS Office program.

  • Strong organizational and communication skills.

  • Ability to proactively manage multiple tasks with strong attention to detail, accuracy and timeliness.

  • Ability to work in a fast-paced changing work environment.

  • Service-focused coupled with the energy and desire to make a positive impact in the workplace.

  • Absolute commitment to confidentiality, honesty and integrity is required in this role.

  • Exceptional customer service skills.

Preferred Qualifications:

  • Experience in leave administration.

  • Experience with Oracle and Oracle Advanced Benefits software.

  • Experience in a university, non-profit organization, or research environment.

    Additional Information:

Salary Range: $50,000 - $55,000 DOE

Subject to change, this position may be eligible for up to 60% alternative workplace arrangement after a minimum three-month probationary period.
